  • Handling Guest Inquiries: You respond to written and telephone inquiries in a professional and service-oriented manner, working in close coordination with the Concierge Team.
  • Administrative Support: You assist the Concierge Team in daily operations by reliably managing administrative tasks and scheduling.
  • Data Management & Documentation: You maintain guest information and internal overviews, ensuring accurate and well-organized documentation of relevant data.
  • Process Optimization: You identify opportunities to streamline workflows and implement minor automation solutions using tools such as Power Automate or Zapier.
  • Backoffice Coordination: You keep track of tasks, deadlines, and internal communication, ensuring a smooth flow of information within the team.
  • Quality Assurance: You help monitor the tools and systems in use and contribute ideas for improving the overall guest service offering.


This is you

  • A structured, self-reliant work style with a strong sense of quality, discretion, and reliability.
  • Excellent verbal and written communication skills in German and English – any additional language, especially Italian, is a plus.
  • A passion for organization, strong digital skills, and confident use of MS Office applications.
  • A service-driven mindset: you see yourself as a supportive team member working behind the scenes – and you know that outstanding guest experiences are built on an excellent back office.
